Privacy Policy

Last updated: July 24, 2026

Kintsugi Space (hereinafter — "we," "the website") is committed to protecting the privacy of visitors to kintsugispace.org and clients of psychological consultations. This Privacy Policy explains what data we collect, for what purpose, how we store it, and what rights each visitor has regarding their data.

By using the website, filling out booking forms, or taking the tests, you agree to the terms of this Policy.

1. Who Collects the Data

The personal data controller is Oleksandra Stryzhevska, a private clinical psychologist and owner of the website kintsugispace.org.

Contact for questions regarding personal data:

2. What Data We Collect

2.1 Data You Provide Directly

  • Consultation booking form: name, phone number and/or email, time zone, and a brief description of the reason for the consultation.
  • Online tests (PHQ-9, GAD-7): your answers to the test questions. This data relates to mental health status and falls under the category of sensitive (special) personal data.
  • Booking via Calendly: name, email, and the selected consultation time.
  • Communication: messages you send via Instagram, Telegram, or email.

2.2 Data Collected Automatically

  • Technical data about your visit (device type, browser, approximate location based on IP address) — collected through standard analytics and site-functioning tools (WordPress, optimization plugins).
  • Cookies — see Section 7 for details.

3. Purposes of Data Use

  • Organizing and conducting consultations (contacting the client, confirming appointment times, sending reminders).
  • Processing PHQ-9 and GAD-7 test results solely for the informational benefit of the user themselves — the website does not store or automatically transmit test results to anyone; the result is shown only to the person taking the test, at the time they take it.
  • Responding to inquiries submitted through forms or social media.
  • Ensuring the technical functioning of the website and analyzing traffic to improve the service.
  • Fulfilling legal obligations (for example, maintaining records of services provided, where required by law).

4. Special Category Data (Test Results)

The PHQ-9 and GAD-7 tests on the website are tools for preliminary self-assessment, not medical diagnostic instruments. The test result:

  • is shown to the user immediately after completion;
  • is not required to be shared with the psychologist — the decision to share the result during a consultation rests solely with the client;
  • is not used by the website for any purpose other than displaying the result to the user.

If the test's technical functionality involves storing responses on the plugin's server (for example, for statistical purposes), this data is anonymized and not linked to the user's name or contact details, unless separately provided by the user in a form.

5. Who We Share Data With

We do not sell or share personal data with third parties for marketing purposes. Data may only be shared with the following categories of recipients:

  • Calendly — the consultation scheduling service (processed in accordance withCalendly's Privacy Policy).
  • Website hosting provider and technical services (WordPress, form plugins, performance optimization plugins) — solely to ensure the website functions properly.
  • Government authorities — only in cases expressly required by law.

6. Data Retention Period

  • Booking form and correspondence data are retained for the duration of the client relationship and for 3 years after the last consultation — to allow for renewed contact and record-keeping where necessary.
  • Data entered into the tests is not permanently stored by the website and is not linked to the user's identity.
  • You may request the deletion of your personal data at any time by writing to the contact email.

7. Cookies

The website uses cookies to:

  • ensure the proper functioning of forms and test features;
  • remember your accessibility settings (accessibility plugin);
  • provide basic traffic analytics.

You can disable cookies in your browser settings, though this may affect the proper functioning of certain website features (such as the booking form or tests).

8. Your Rights

In accordance with data protection law, you have the right to:

  • obtain information about which of your data is being processed;
  • request the correction of inaccurate data;
  • request the deletion of your data (the "right to be forgotten");
  • withdraw your consent to data processing at any time;
  • file a complaint with the competent data protection authority.

To exercise any of these rights, please contact us at the email address listed in Section 1.

9. Data Security

We take reasonable technical and organizational measures to protect personal data from unauthorized access, loss, or disclosure (secure HTTPS connection, restricted access to the website's admin area).

However, no method of data transmission over the internet is completely secure, and we cannot guarantee absolute security.

10. Children

The website and services are intended for individuals aged 16 and older. We do not knowingly collect personal data from individuals under 16 without parental or legal guardian consent.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The current version is always available on this page, with the date of the last update indicated.
